MULTI-REEL WORKFLOW
How to Transcribe Multiple Instagram Reels Without Mixing Results
Create a short queue before you begin, give every Reel a stable item ID, and submit each public link or permitted media file separately. Download or copy each result before moving to the next Reel, then mark that item complete in the same queue.
- 1
List the Reel links and assign a unique item ID to each one.
- 2
Process one Reel, review its opening words, and save the result with that ID.
- 3
Record the output before loading the next item.
WORKFLOW BOUNDARY
Treat the current tool as a one-item workbench
The current Instagram Reels transcript tool asks for one public Reel URL or one uploaded audio or video file. It displays one transcript result and offers copy, TXT, and, when timed data is returned, VTT controls for that result.
This guide does not claim automatic batch processing. It gives you a controlled manual queue so several single-item results stay traceable.
ORIGINAL QUEUE TEMPLATE
Build a manifest before opening the first Reel
| Item ID | Source | Status | Saved output | Review note |
|---|---|---|---|---|
| R-A01 | First public Reel link | Ready | Not saved | Opening phrase not checked |
| R-A02 | Second public Reel link | Waiting | Not saved | Check the speaker name |
| R-A03 | Permitted media file | Waiting | Not saved | Confirm file before upload |
These rows are a made-for-this-guide example, not a record of source videos or a live test. Replace the source descriptions with the links or filenames you are authorized to process.
STEP BY STEP
Process the queue without losing source identity
1. Freeze the input list
Put every intended public Reel link or permitted local filename in one manifest. Remove duplicates now. Do not rely on a row number alone if the list may be sorted later; add a stable item ID that stays attached to the source.
2. Open only the current source
Move the first row to In progress. Paste that row's public Reel URL, or choose that row's permitted media file. Before submitting, compare the visible link or selected filename with the manifest.
3. Confirm the result belongs to the row
Read the opening sentence while replaying the beginning of the Reel. If the words clearly belong to another item, stop and correct the source selection. Do not save a result merely because the transcript box is populated.
4. Save before replacing the input
Copy the reviewed text or download the available file. Rename the working copy immediately with the item ID, then enter that exact filename in the manifest. If you need timestamps, use the available VTT result and follow the VTT inspection workflow.
5. Close the row, then advance
Mark the row complete only after the source, opening words, saved filename, and review note agree. Clear the working context, select the next Waiting row, and repeat the same handoff.
ORIGINAL FILE-NAMING MAP
Make every saved transcript point back to one queue row
- Item ID
- R-A01
- Plain-text working copy
- R-A01-transcript.txt
- Timed working copy
- R-A01-timed.vtt
- Reviewed copy
- R-A01-reviewed.txt
The ID carries source identity across formats. The suffix describes the file's role, so a timed download is not mistaken for a reviewed plain-text copy.
QUEUE DECISIONS
Record a state that tells you what to do next
| State | Meaning | Allowed next action |
|---|---|---|
| Waiting | The source is listed but has not been submitted. | Confirm access and move it to In progress. |
| In progress | The source is in the tool, but no reviewed file is logged. | Finish, save, or record a specific failure. |
| Needs review | A result exists, but identity or wording is unresolved. | Compare the source audio with the transcript. |
| Blocked | The public link or permitted file could not be processed. | Write the visible error and use the matching troubleshooting route. |
| Complete | The saved output and source have been matched. | Advance to the next Waiting item. |
MIX-UP DIAGNOSTIC
Repair the queue at the first broken handoff
| What you notice | Likely handoff problem | Next action |
|---|---|---|
| Two rows contain the same Reel link | The input list has a duplicate. | Keep one row, record the duplicate removal, and preserve the remaining ID. |
| The opening words do not match the current source | The wrong link or file was submitted. | Discard the unsaved result and resubmit from the active manifest row. |
| A transcript is visible but no filename is logged | The save step is incomplete. | Save and rename the result before changing the input. |
| A TXT and VTT have different item IDs | Files from separate rows may have been grouped together. | Recheck both against their source openings and separate the files. |
| A row is marked Complete with an unresolved note | The status advanced before review ended. | Return it to Needs review and resolve the note. |
| The link route returns an error | The issue belongs to retrieval, not queue order. | Use the Reel link troubleshooting guide and record the exact message in that row. |
FINAL HANDOFF
Audit the set before using the transcripts
- Every source has one stable item ID.
- No public Reel link or permitted filename appears in two active rows.
- Every Complete row has a saved output filename.
- Each saved transcript's opening words match its source.
- TXT and VTT files use the same item ID only when they came from the same result.
- Failures include the visible error instead of being marked Complete.
- Names, numbers, and quoted passages were checked before downstream reuse.
MULTI-REEL ANSWERS
Transcribing several Instagram Reels
Can ReelTranscripts process a list of Reel links at once?
The current interface accepts one public Reel URL or one uploaded media file at a time. Use the queue in this guide to keep several single-item runs organized.
Should I combine every transcript into one document immediately?
No. Keep a source-linked working copy for each Reel until identity and wording checks are complete. Combine reviewed copies later only when your project needs one document.
What should I do when one Reel fails but the others work?
Mark only that row Blocked, capture the exact message, and continue with the next independent row. Do not let one failed source erase or relabel completed results.
Which format should I save for each Reel?
Use TXT for editable plain text. Use VTT when the result includes timed data and you need a caption or timestamp workflow. The TXT versus VTT guide explains the handoff difference.
