TRANSCRIPT TO CAPTIONS
How to Turn an Instagram Reel Transcript into Captions
Generate and review the spoken text first. Download VTT when the result includes timestamps, then import that working copy into a caption editor that accepts it. If VTT is unavailable, copy the transcript or download TXT and place each phrase on the timeline manually.
- 1
Create the Reel transcript and correct the words.
- 2
Choose VTT for timed cues or TXT for a manual timeline.
- 3
Check every caption against speech and visible action.
STARTING ROUTE
Use the output you actually received
| Current result | Caption route | First action |
|---|---|---|
| VTT button is visible | Timed handoff | Download the VTT, keep an untouched copy, and open a duplicate in your caption editor. |
| Transcript text and TXT only | Manual timing | Copy or download the reviewed words, then create caption segments on the editor timeline. |
| Transcript is incomplete | Repair first | Do not caption around missing speech. Use the incomplete transcript workflow before timing. |
| Words are present but uncertain | Audio review first | Replay the source and resolve names, numbers, and short phrases before creating captions. |
STEP BY STEP
Move from reviewed words to timed captions
1. Build the source transcript
Paste a public Reel link into the transcript tool or upload media you are permitted to process. Wait for the complete result before editing a downstream copy.
2. Correct content before timing
Compare the returned text with the source audio. Fix wording, punctuation, names, and numbers in a working copy. A well-timed incorrect word is still an incorrect caption.
3. Choose VTT or plain text
Use Download .vtt when the control appears and your editor accepts WebVTT. Otherwise use copied text or TXT and create the timing inside the editor. The current tool hides the VTT control when the result has no VTT value.
4. Reshape cue text without changing meaning
Keep connected words together, move a break away from a name or short phrase, and remove transcript-only notes that should not appear on screen. Do not rewrite the speaker's meaning merely to make a line look even.
5. Check the captioned video from beginning to end
Watch the working export with sound, then review it again with sound muted. Confirm that each caption appears with the matching speech, remains readable against the picture, and disappears before the next unrelated phrase.
ORIGINAL EDITING EXAMPLE
Turn one transcript sentence into caption cues
This example was written for this guide. It demonstrates an editing decision and is not copied from a Reel or a generated transcript.
- Transcript sentence
- Open the draft, check the names, and save a clean copy.
- Caption cue A
- Open the draft
- Caption cue B
- and check the names.
- Caption cue C
- Then save a clean copy.
The caption version uses the same instruction sequence. The final cue adds a transition for readability but does not add a new claim. Set each cue's timing from the spoken audio, not from the sample text.
TIMED FILE CHECK
Preserve the structure of a VTT working copy
WEBVTT 00:00:00.000 --> 00:00:02.400 Open the draft. 00:00:02.400 --> 00:00:04.900 Check the names. 00:00:04.900 --> 00:00:07.600 Save a clean copy.
This original sample shows three time-aligned cues. The W3C WebVTT specification defines the format and its cue timing syntax. Keep the header, timing lines, cue text, and blank-line separation intact while editing a VTT copy.
CAPTION HANDOFF
Audit the deliverable one cue at a time
| Check | Question to answer | Pass condition |
|---|---|---|
| Words | Does the cue match the spoken phrase? | No unresolved names, numbers, or missing words remain. |
| Start | Does the cue appear with the phrase? | It does not lead unrelated speech or visible action. |
| End | Does the viewer have time to finish the phrase? | The cue does not vanish mid-phrase or remain over the next thought. |
| Break | Is the phrase split at a natural boundary? | Connected names and short grammatical units stay together. |
| Picture | Is the caption readable on the frame? | Important visual information is not hidden by the text placement. |
| Sequence | Are cues in spoken order? | No cue is duplicated, skipped, or attached to the wrong moment. |
CAPTION DIAGNOSTIC
Fix the handoff at the right layer
| What you see | Likely layer | Next action |
|---|---|---|
| No VTT download control | The result has no timed VTT value | Use TXT or copied text and create timing manually. |
| Correct words at the wrong moment | Cue timing | Move the cue boundary while listening to that exact phrase. |
| Wrong words at the right moment | Transcript content | Correct the cue text against the audio without moving a cue that is already aligned correctly. |
| One dense block on screen | Caption segmentation | Split the text at natural phrase boundaries and retime the new cues. |
| Text covers an important visual | Caption placement | Adjust placement in the caption editor and review nearby frames. |
| Editor rejects the timed file | Format or syntax | Check the editor's accepted formats, then inspect the VTT header and timing lines in a working copy. |
FINAL REVIEW
Complete the caption pass before publishing
- The source transcript was reviewed against the Reel audio.
- The working caption file is separate from the untouched download.
- Each cue contains the intended words in the intended order.
- Caption breaks follow complete phrases instead of arbitrary line lengths.
- Timing was checked at the start, middle, and end of the video.
- The finished video was reviewed once with sound and once without sound.
- The caption placement does not hide information the viewer needs.
CAPTION ANSWERS
Instagram Reel transcript to captions FAQ
Do I need timestamps to make captions?
No. Timestamps make the handoff faster when your editor accepts the file. With plain text, you can create and time each caption segment manually.
Should I correct the transcript before or after timing?
Correct the words first, then time the reviewed copy. If a later audio check reveals an error, change the text without moving a cue that is already aligned correctly.
Is a transcript the same as finished captions?
No. A transcript preserves spoken content as text. Finished captions also need cue boundaries, timing, readable breaks, and a visual review. See the transcript versus captions guide for the format distinction.
Where can I inspect the timed download first?
Use the Instagram Reel VTT guide to check the header, cue structure, and saved file before editing.
